Administrative Coordinator
Location: Langley, BC, Hybrid, ideally 5 days on-site, minimum 3 days on-site

About the Opportunity
This short-term opportunity supports a busy academic leadership team within a post-secondary environment during a period of high volume and multiple staff absences. You’ll step into a hands-on administrative role that keeps essential academic and faculty processes moving, while helping maintain structure in a fast-changing environment.
Working closely with an Associate Dean and senior faculty leaders, your role will be central to document coordination, scheduling, and communication flow. This is a highly people-facing position that blends strong organization with professional judgment, where your ability to navigate ambiguity and shifting priorities will make a meaningful impact.

Your Responsibilities
- You’ll manage a shared inbox handling a high daily volume of inquiries, prioritizing requests and coordinating timely follow-ups.
- In this role, you’ll track, organize, and upload a large volume of academic and HR-related documents using SharePoint and internal systems.
- You’ll prepare agendas, capture meeting minutes, and track action items across multiple committees and leadership groups.
- You’ll maintain complex Excel-based faculty workload trackers, ensuring accuracy, version control, and deadline alignment with academic timetables.
- You’ll provide reception-style support for a health-focused faculty, greeting visitors and supporting day-to-day administrative needs.
- You’ll draft and process faculty contracts and forms, requiring strong attention to detail and follow-through with multiple stakeholders.
Skills and Qualifications
- 3+ years of progressive administrative experience, ideally within post-secondary or education environments
- Strong organizational and time-management skills, comfortable managing tight deadlines and competing priorities
- Advanced MS Word skills and strong Excel capability, including formulas and data tracking
- Experience supporting senior leaders and navigating approval-based environments
- Clear, professional communication skills and confidence managing sensitive conversations
- Comfort working through ambiguity in a fast-paced, high-volume setting
