Salary Range: $65,000 to $85,000 per year annually with benefits and 3 weeks paid vacation
Work Location: Toronto
Work Environment: UNICEF Canada currently operates under a Fixed-Hybrid model that requires team members to attend the office at least 2 days/week (Tuesday & Wednesday)

The Opportunity
The Executive Assistant is a trusted, strategic partner who provides executive support to the President & CEO while ensuring seamless connection between the CEO Office and the UNICEF Canada team.
In this role, the Executive Assistant, supports the President and CEO with meeting scheduling and preparation, travel, budgeting, and stakeholder and donor engagement. This role also leads board relations and administration, working collaboratively with the Executive Team and Board to prepare and coordinate quarterly and annual meetings.
As a key member of the CEO office, the Executive Assistant will support important culture building work, supporting internal communication activities like Weekly Town Halls, All-team sessions, and our SharePoint hub.
Key Accountabilities
CEO Office Support – 50%
·Executive administrative support to the President & CEO, including managing the President and CEO’s calendar to ensure time is balanced against key priorities and responsibilities
·Collaborate closely with team members across the organization to ensure timelines for correspondence, briefs, meeting materials, travel and event preparation, etc., are on track
·Assist the President and CEO in preparation for travel, including booking flights, managing expenses, and working with the UNICEF Canada team on briefing materials
·Support CEO Office and Board budget and forecast, including preparing monthly expenses reports for the CEO and Board
·Prepare and edit materials for the CEO, including presentation and briefing materials
·Support the Chief of Staff with the CEO Engagement Strategy, including research, meeting and event preparation, drafting follow-up notes of recognition, and managing stakeholder relations in Raiser’s Edge CRM system
·Support the President in additional roles as a representative of UNICEF Canada including, but not limited to, the Standing Group of National Committee and other external organizations
·Maintain SharePoint sites for Leadership teams with sharp filing system and security of sensitive information
Board Relations – 30%
·Be the key contact for all Board Members related to all administrative and governance activities, ensuring all touchpoints are highly professional, diplomatic and timely
·Develop and manage shared annual calendar of board and committee meetings
·Lead coordination and logistics of quarterly Board and Committee (4) Meetings to ensure agenda and all materials are distributed at least one week prior to each meeting. Support workback schedules for UNICEF Canada team for all materials
·Prepare for the CEO and Board Chair’s approval of all board and committee meeting minutes within one week after each meeting, distributing minutes as part of the package of materials for the next meeting. Leveraging automation to remain efficient and timely
·Manage the onboarding/offboarding of new/departing board members, including preparation of Board Orientation Sessions and official documents for signature (ie. vulnerable sector checks)
·Lead the feedback mechanism for Board and Committee meetings, including the annual board evaluation process and post board meeting surveys
·Maintain contact information for board members, volunteer members and prospects for both
·Securely update and protect electronic records of the Board and the key organizational documents i.e. trademarks, statutes, Board Policy Manual, etc.
·Support with coordination of the Annual General Meeting (AGM), including planning and logistics, volunteer member recruitment and engagement, Board Director participation, travel arrangements for Board members
·Support CEO office with evergreen Board Recruitment to maintain an active and updated board prospect pipeline in collaboration with the Manager, Prospect Research
·Coordinate with the Executive Leadership Team and the Governance Committee in the recurring review and update of Board Policies
Internal Communications – 20%
·Lead and organize Weekly Town Hall meetings (hybrid), including calendar planning, leading presentation, preparing slides for CEO’s remarks, and supporting presentation materials in collaboration with team and/or external guests
·In coordination with People and Culture, support the UNICEF Canada Intranet site weekly newsletter, including coordinating engaging content from teams across the organization
·Support development of cross-organizational all-employee days and celebrations
Qualifications
·Post-secondary education
·Minimum 5 years relevant experience working with C-suite level leadership
·Adept at multi-tasking and incredibly detailed oriented
·Outstanding interpersonal skills; demonstrated team player
·Strong degrees of political acuity, tact, diplomacy
·Expert in Microsoft Office Suite, with familiarity of SharePoint
·Experience with Raiser’s Edge or CRM (Customer Relationship Management) System, Nexonia, ADP and Asana an asset
·French, an asset
·Strong written and verbal communication skills are crucial for drafting correspondence and liaising with stakeholders
