The Mint Agency's well-organized and welcoming office is crucial to a thriving, creative team. As our Office Coordinator, you will play a vital role in maintaining a positive, professional, and efficient workplace experience for staff and visitors. You’re the go-to person who ensures the day-to-day office operations run smoothly and that our space reflects the vibrant culture we foster.
You will report to the Chief of Staff and work closely with internal stakeholders to support logistics and administrative functions, as well as the overall maintenance of our physical environment.
Office Operations & Facilities Management
- Serve as the first point of contact at the front desk, greeting visitors, managing emails, receiving packages, and handling general inquiries.
- Maintain a clean, organized, and fully stocked office environment, including meeting rooms, supply closets, kitchens, and shared spaces.
- Order and restock office supplies, snacks, and beverages regularly.
- Ensure office equipment (e.g., printers, coffee machines) is functional and serviced as needed.
- Coordinate repairs and manage relationships with office vendors and service providers.
- Track and report office maintenance issues, and support their resolution.
Administrative Support
- Assist with scheduling internal meetings and booking boardrooms.
- Set up meeting spaces, including audio-visual (AV) equipment, catering, and necessary materials.
- Support the coordination of office-wide internal events (e.g., town halls, staff socials), and external events (e.g., client meetings, pitch presentations)
- Maintain up-to-date records for office logistics and vendor contacts.
- Support with expense tracking, invoice processing, and general admin duties.
Logistics & Internal Tools
- Receive and distribute mail and courier packages.
- Ensure compliance with general office protocols, including guest/visitor procedures and building security protocols.
- Ensure health and safety measures in the office are always up to date.
This is a full-time, in-office role (5 days per week) based at our office at Dundas & Ossington in Toronto.
Salary range: $50,000–$55,000 annually, commensurate with experience.
